Who at the center can see my family
Which staff see what, what other families see, and what happens when someone leaves.
Staff at your center
At most centers, teachers can see every child in the building: the roster, check-in and check-out, daily reports and photos, allergies and medical notes, emergency contacts, authorized pickups, and parents' names, email addresses and phone numbers. Staff cover each other's rooms at opening and closing, and a teacher looking after a child from another room needs that information to hand.
Some centers narrow this so teachers see only the children in their own classroom. Your director can tell you how your center is set up.
Your family's messages
Your family has one conversation with the center, and staff across the center can read it — not only your child's teachers. Every parent or guardian in your family sees the same conversation.
Staff can also leave notes in that conversation for each other. Those are marked for staff only, and families don't see them.
Directors
Directors and administrators see everything above, plus enrollment records, billing and the center's settings, because running the center requires it.
This is why your director is who to ask about anything account-related. They can actually see it.
Billing
In the app, billing is for directors and administrators. Teachers don't have a billing screen, so your child's teacher isn't looking at whether your tuition is paid — which is worth knowing if you're ever behind. It doesn't follow you into the classroom.
Incident and medication records
Teachers can read incident reports and medication records, since they're the ones writing them up and giving the medicine. Each incident report keeps its sign-offs: when the teacher signed it, when a parent acknowledged it, and when the director signed it off.
Not your director, not us. If anyone asks you for it, that's a warning sign regardless of who they claim to be.
Other families
Other families don't see your child's daily reports, records or messages. A few things are shared, though:
- Birthdays. Families in your child's class see your child's name, profile photo and birthday on the Birthdays tab when it's coming up or has just passed. See Events, RSVPs and conferences.
- Photos. Photos go to the families of the children they're added for, and a photo of a group activity can include other children. If family sharing is off for your child, their photos are hidden from families, yours included — see Photo and video permissions.
- Group conversations. If staff add your family to a conversation with other families, everyone in it sees each other's names and replies. You can leave at any time.
When staff leave
When a staff member leaves, your center removes their access and they can no longer sign in. Their past records stay attributed to them, because those are records your center is required to keep.
