Set up payments and payouts
Connecting the account that lets families pay in the app and sends the money to your center's bank.
Before you start
Payments in RoundUp run through Stripe. Stripe is required to verify a business, and the person responsible for it, before it can send them money — which is why setup asks for an EIN and Social Security details. Have these to hand before you start:
- Your legal business name, business EIN, business phone and business address.
- For the person legally responsible for the business: date of birth, email, phone, home address and the last four digits of their SSN.
- Whether that person owns 25% or more of the business.
- The payout bank account's routing and account numbers, and the name on the account.
- A card for your RoundUp subscription.
Where to start
Open Payments, or More → Billing, and tap Set up payments. You can also start from More → Marketplace → Card & bank payments → Connect. Directors, assistant directors and admins can do this. If you don't see Payments or Billing, your center may have billing turned off.
Each screen is saved when you move past it. A screen you've half filled in isn't, so finish the one you're on before putting the phone down. When you come back, tap the same card — it will read Finish setting up payments or Action needed: payouts paused — and Continue takes you to whatever Stripe still needs.
The steps
- Get paid directly The welcome screen shows your new account's ID and status. Tap Continue.
- Business profile The legal entity that receives payouts, as registered with the IRS: legal business name, Business EIN (Tax ID) (nine digits), business phone and address with a two-letter state. Support email, support phone and website are optional; a Facebook page works as a website.
- Account representative Name, date of birth, email, phone, address and SSN (last 4). Leave Full SSN (only if requested) blank unless Stripe asks for it. Then answer Does this person own 25% or more of the business? If you answer No, the app explains that verification can't finish until the owners are declared, and that support will reach out to collect their details.
- Payout bank account Account holder name, Company or Individual, routing number, account number twice, then Link Bank Account. The account number is turned into a token on your device and isn't stored by RoundUp.
- Stripe Services Agreement Accept and Finish agrees to Stripe's terms on behalf of your business. Read them first at stripe.com/legal/connect-account. One more screen follows.
- Billing card The card RoundUp charges for your subscription. Families never see it. Save Card, or Skip for now — setup doesn't bring you back to this screen later, so if you skip it, email support when you're ready to add a card.
Checking the status
The last screen shows You're all set or Verification in progress, with Charges enabled and Payouts enabled as Yes or No. The app's own estimate is that review usually takes a few minutes but can take up to a few business days. The screen checks again by itself for a couple of minutes; after that, use Refresh.
Anything under Still needed: is listed by Stripe's own field names, which are terse but readable — external_account is the bank account, for example. Pending verification: means Stripe has the information and is checking it.
Once you're set up
The setup card disappears from Payments. After money starts moving, a Last payout card shows the most recent deposit, or Payout failed with the bank's reason.
For more detail, open More → Marketplace → Card & bank payments → Manage. That Payments screen shows your available and pending balance, recent payouts with their arrival dates, and disputes with the date a response is due. It's read-only: nothing on it moves money.
A dispute is a family asking their card issuer to reverse a payment. The app can show you one but can't respond to it, so email support well before the respond-by date — with whatever you have that shows the charge was right.
When something's stuck
- Action needed: payouts paused. Tap the card and look at the status screen. If Still needed: lists something, Continue takes you to that step. If it's empty and items are under Pending verification:, Stripe is still checking — the card shows this wording during a normal review too, so give it the time the app quotes before worrying.
- Still needed lists something no screen asks for — an identity document, for example. Email support.
- You need to change the payout bank account. There isn't a screen for that once the account is active. Email support.
For charging families once this is done, see Tuition and billing.
