Calendar subscription links
Putting the center calendar in the calendar app people already keep open — and keeping the staff one away from families.
What a subscription link does
A subscription link puts your RoundUp calendar inside Google Calendar, Outlook or Apple Calendar, alongside everyone's own events. New events and changes show up there on their own — nothing to install, no account to connect.
It only publishes outward. Nobody's personal calendar is read, and nothing added in Google or Outlook comes back into RoundUp.
Finding your links
- Open the Marketplace In More, under Center management, tap Marketplace.
- Open Calendar subscription Find Calendar subscription and tap Open.
Directors, assistant directors and admins can open this screen, and every center has it.
Two links, and why
| Link | Includes | Share with |
|---|---|---|
| Staff calendar | Everything on the calendar, including staff-only events like in-service days. | Your team. |
| Family calendar | Family and all-center events only. Staff-only events are never included. | Parents — it's safe to publish. |
Tap a link to copy it, then paste it wherever you share things with that group: an email, your parent handbook, a staff noticeboard.
Sending the staff link to families publishes every staff-only event to each parent who subscribes. The two look alike, so check the heading above the one you tapped before you send it.
How someone subscribes
The screen lists these steps, which you can pass straight on:
- Google Calendar — Other calendars → + → From URL, paste, Add calendar.
- Outlook — Add calendar → Subscribe from web, paste, name it, Import.
- Apple Calendar — File → New Calendar Subscription, then paste. On iPhone: Calendars → Add Calendar → Add Subscription Calendar.
The calendar app decides when to check for updates, not RoundUp. The screen puts it as usually a few times a day, and a brand-new event can take a few hours to appear. For anything that can't wait — tomorrow's closure — send an announcement as well.
What's in the feed
Each event's title, date and time, location and notes. Events from the past year and everything upcoming are included, and an event you delete drops out at the subscriber's next refresh.
No attendance, health or child records are ever part of it. But whatever you type into an event's notes travels with the event, and the subscriber's calendar provider keeps a copy. Keep children's names and anything private out of event notes.
If a link gets out
Anyone holding a link can see that calendar, so treat both like a door key. If one has been shared more widely than you meant — forwarded outside the center, posted somewhere public — tap Reset both links and confirm with Reset links.
Both links are replaced at once. Everyone already subscribed, staff and families, stops receiving updates until they subscribe again with the new link, so send the new ones out straight away.
There's no way to cut off one person on their own. Resetting is the only lever, which is why it's worth being deliberate about where the staff link goes in the first place.
