Milestones, observations and a child's portfolio

Where milestones get logged, how observations fit in, and why the Portfolio tab is empty.

For teachers, lead teachers and assistant teachers

Opening a child's screen

Go to More → Family engagement → Milestones. The screen opens on Overview, and its tabs are Overview, Portfolio, Milestones and Observations. It's headed My Children, even for staff.

If there's no Milestones row in More, your center may not have it turned on.

Logging a milestone

  1. Pick the child On Milestones, tap the child's name under Child. Their age shows underneath.
  2. Narrow by domain Optionally tap a Domain: Social-emotional, Language, Cognitive, Physical / motor or Adaptive / self-help. All shows everything.
  3. Open the milestone Each card shows the milestone, its domain, its age range in months and its current status. Tap Log observation.
  4. Set the status Choose Not observed, Emerging or Achieved. It starts on Emerging, or on Achieved if the child already has it.
  5. Add your evidence Under Evidence, write what you saw, then tap Save.

The card then shows the new status, who logged it and when, and your evidence in quotes. There's no editing a saved entry. If a status was wrong or has moved on, log it again: the newest entry is the one the card shows, and earlier ones are kept.

Evidence is the part that matters later. Pulled to stand at the shelf and cruised three steps will still mean something at a conference in four months. Doing well won't.

Which milestones you'll see

The list follows the child's age. A milestone appears from six months before its age range starts until a year after it ends, so you can record something early, or late, without wading through the whole list. If the child has no date of birth on file, every milestone shows.

No milestones for this filter usually means the domain you picked has nothing in range. Tap Show all domains.

The Observations tab

These are the same observations as Learning → Observations, reached from the child's screen. Tap New, choose the Child, type a Domain (it starts as General) and write your Notes. You can add one attachment: Attach photo, Attach video, or a voice memo. The voice memo button says Hold to record voice memo, but it's tap to start and tap again to stop. Tap Save.

A photo or video won't save for a child whose family hasn't given that consent. Offline, the observation waits on the device and is sent when you reconnect. The first observation you save each day gets a small celebration.

Filters narrow the list by child and domain, including any domain your center has already used. Edit changes an observation's domain and wording. Export makes a PDF of the observations for the child chosen in the filter. It only includes what the tab has loaded, which is the center's most recent observations, so it isn't a complete history.

For learning stories and how to write an observation worth reading, see Lesson plans and observations.

The Portfolio tab

Not filled in yet

Nothing in RoundUp adds items to the Portfolio tab yet. Photos, milestones and observations you record don't appear there, so it says Nothing here yet for every child, and its download button doesn't produce a usable file. Use the Milestones tab and the Observations tab's Export instead.

Families can open this screen from More → Your children → Portfolio in their app, but the Portfolio tab is staff-only for now and shows them nothing. If a parent asks where their child's portfolio is, point them to observations and milestones.

What families see

A child's family can see their observations, with any photo attached, and the Milestones tab for their own children: each milestone's status, who logged it and your evidence. They can't log anything. Write every entry as if the parent will read it, because they can.

Nothing here sends them a notification. They see it next time they look.

Screenshots and the access log

This screen shows a child's records, so RoundUp tries to block screenshots and screen recording while it's open. Each time you open it, RoundUp also records that you viewed a child's profile, in an access log your director can review. It's routine record-keeping for children's files, not a reason to avoid the screen.
